Key Responsibilities

  • Provide comprehensive secretarial and administrative support to the team, handling all documentation and communications with confidentiality and professionalism.

  • Liaise effectively with key internal and external stakeholders, ensuring clear communication and smooth information flow.

  • Assist the executive assistant in arranging meetings and events, including scheduling, logistics, and preparation of materials.

  • Organize the full spectrum of travel arrangements, including booking flights, securing accommodations, processing business travel applications, and managing expense claims.

  • Coordinate meetings and conferences by preparing agendas, distributing documents, booking venues, and ensuring seamless execution.

  • Support staff engagement initiatives by assisting in planning and coordinating team events and activities that promote a positive workplace culture.

  • Handle other duties as assigned by the Department Head, demonstrating flexibility and a willingness to take on new challenges.

  • Maintain strict confidentiality when dealing with sensitive information.

  • Prioritize workload effectively to ensure timely completion of all administrative tasks.

  • Utilize Microsoft Outlook, Word, Excel, and PowerPoint efficiently to manage schedules, prepare reports, and communicate effectively.

What You Bring

We’re looking for someone with proven administrative experience who combines technical proficiency with strong interpersonal skills and a collaborative spirit.

Essential Qualifications and Experience:

  • 3-5 years of experience in a secretarial or administrative role within a professional setting, where reliability and discretion were essential.

  • Fluency in English (reading, writing, and speaking) is required. Additional language skills in Cantonese or Mandarin are highly valued for effective communication across diverse teams.

  • Proficiency in Microsoft Outlook for calendar management, Word for document preparation, Excel for data tracking, and PowerPoint for creating presentations.

  • Outstanding written and verbal communication skills, with the ability to interact thoughtfully with senior stakeholders while maintaining clarity and professionalism.

  • A results-oriented approach with a strong sense of accountability—you ensure tasks are completed accurately and on time.

  • The ability to work responsively under pressure, prioritizing work according to urgency without compromising quality or attention to detail.

  • Exceptional attention to detail, ensuring accuracy across all aspects of administration, from travel bookings to expense claims.

  • Experience coordinating meetings or events, demonstrating your capability in managing logistics efficiently and fostering positive relationships.
