In this role, you’ll be the welcoming face of the company, greeting visitors and managing the reception area, while also providing essential administrative support to keep the office running smoothly. Key Responsibilities

  • Greet and welcome visitors to the office in a friendly and professional manner, creating a positive first impression.

  • Handle incoming calls, directing them to the appropriate person or department efficiently.

  • Manage the office reception area, ensuring it is well-presented and welcoming at all times.

  • Provide general administrative support, acting as the first point of contact for maintenance and repair requests.

  • Monitor office equipment and arrange timely servicing to minimize disruptions.

  • Assist with meeting and event coordination, including arranging catering and logistics.

  • Order office supplies and maintain accurate inventory levels.

  • Make international travel arrangements for staff, including flights, accommodations, and transportation.

  • Handle petty cash transactions and ensure accurate record-keeping.

  • Collect and verify employee expense claims and supporting documents, ensuring compliance with company policies.

  • Process expense reimbursements and communicate with employees to resolve any discrepancies or missing information.

  • Support the HR and Finance teams with ad-hoc administrative tasks as required.

Qualifications and Experience

We’re looking for someone with strong organizational skills, a professional demeanor, and the ability to juggle multiple responsibilities with a smile.

Essential Requirements:

  • At least 2 years of experience as an Administrative Assistant or Receptionist, ideally within a professional services or creative environment.

  • Diploma or equivalent qualification in Business Administration or a related field.

  • Strong communication and interpersonal skills, with the ability to engage warmly and professionally with a wide range of people.

  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.

  • Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook.

  • A keen eye for detail and the ability to work accurately and efficiently.
